Who these terms apply to
Clients and candidates-These terms apply to any company that engages Holistic Partners, Inc. for staffing services, and to any individual who submits their information to us for placement consideration. By working with us whether that’s signing a contract, submitting a resume, or requesting candidates you’re agreeing to these terms.
Our services
What we do and don’t guarantee–We provide IT staffing services sourcing, screening, and placing candidates on a contract, contract-to-hire, or direct-hire basis. We work hard to match the right people to the right roles, but we can’t guarantee every placement will be a perfect fit. What we can guarantee is that we’ll be honest with you about what we’re seeing, act quickly, and make it right if something isn’t working.
We reserve the right to decline any engagement that conflicts with our values, compliance standards, or capacity at a given time.
Client responsibilities
What we ask of clients –To do our job well, we need accurate, complete job requirements from you. If the role changes significantly after we’ve started sourcing, let us know otherwise we’re matching candidates to a target that’s moved.
- Provide honest feedback on submissions so we can calibrate quickly
- Don’t share candidate information outside your hiring team without consent
- Don’t directly contact candidates we’ve introduced to you outside of the agreed process
- Notify us promptly if a role is filled or cancelled
Candidates introduced to you by Holistic Partners are covered by our placement terms for a defined period. Hiring them outside of our agreement during that period is considered a direct placement and our fees would apply.
Candidate responsibilities
What we ask of candidates –When you work with us, we’re putting our reputation on the line alongside yours. We ask that everything you share with us your resume, your work history, your skills, your work authorization status is accurate and up to date.
- Don’t accept a submission to a client if you’ve already been submitted by another firm
- Tell us if your availability, rate, or interest changes before we submit you
- Be responsive during the interview and onboarding process ghosting a client reflects on us both
- Keep client information you’re exposed to during a placement confidential
Fees and payment
How our fees work
Fees are outlined in the individual service agreement between Holistic Partners and the client. For contract placements, billing is based on the agreed hourly rate for hours worked. For direct hire placements, a placement fee applies as defined in the agreement.
We operate a predefined payment calendar for contractors payments go out on schedule, without contractors needing to follow up. Late payments from clients affect our ability to pay contractors on time, so we take invoicing seriously and expect the same from our clients.
We don’t charge candidates a fee for placement. Ever. If someone is charging you to place you in a job, that’s not us.
Confidentiality
What stays between us-Any information shared between Holistic Partners and a client in the course of our engagement, job requirements, internal processes, candidate feedback, business details is treated as confidential. We don’t share client information with competitors or post anything publicly without permission.
The same goes for candidates. Information you share with us stays within our team and is only shared with clients when you’ve been actively submitted for a role.
Intellectual property
Who owns what-All content on the Holistic Partners website our copy, our process documentation, our branding belongs to us. You’re welcome to reference it, but please don’t reproduce it without permission.
Candidate resumes and work samples remain the property of the candidate. We don’t claim ownership over anything you send us.
Liability
The honest version We carry comprehensive insurance General Liability ($1M/$2M), Umbrella Liability ($6M), Workers’ Compensation ($1M), Fidelity Bond ($5M), and Professional Liability E&O ($5M). This protects our clients from financial exposure related to our work.
That said, our liability is limited to the scope of services we’ve agreed to provide. We’re not responsible for decisions made by clients after a placement, or for outcomes that result from inaccurate information provided by a candidate.
Changes to these terms
If we update this-We’ll update the “last updated” date at the top of this page whenever something changes. If the changes are significant, we’ll make a reasonable effort to notify active clients and candidates directly. Continuing to work with us after an update means you’re comfortable with the new terms.
If something in these terms changes in a way that affects you and you have concerns, please reach out before assuming the worst we’d rather talk it through.
Note: These terms are a plain-language summary of how we operate. For engagements involving formal contracts, the signed agreement between Holistic Partners and the client takes precedence over anything on this page.
