What we collect

From candidates

When you apply for a role or submit your resume to us, we collect the information you give us: your name, contact details, work history, skills, and work authorization status. We may also collect notes from screening calls or interviews.

One thing we will never ask for: your year of birth. It’s not relevant to your qualifications and it’s not something we want or collect full stop.

From clients

When a company works with us, we collect business contact information names, job titles, email addresses, and details about the roles you’re trying to fill. We also keep records of the candidates we’ve submitted and any feedback you’ve provided, so we can keep improving what we send you.

From website visitors

If you browse our website, we may collect basic usage data which pages you visited, how long you spent there, and what device you used. This is standard analytics data and it helps us understand what’s working on our site. We don’t tie this to your identity unless you fill out a form.

Why we collect it

We use your information to do our job

That’s really the core of it. We use candidate information to match people to relevant roles, communicate about opportunities, and manage the placement process. We use client information to understand hiring needs, submit candidates, and maintain the relationship.

We don’t sell your data. We don’t use it to market unrelated products. We don’t share it with third parties who have no role in the placement process. If your information is in our system, it’s there because we’re actively working with you or may work with you in the future.

Who we share it with

Only who needs to see it

Candidate information is shared with clients only when we’re actively presenting you for a role and only with the information relevant to that role. We don’t circulate resumes broadly or share candidate details without a clear, active reason.

Client information stays internal. We don’t post client names publicly on job boards or share your requirements with other vendors without permission.

We may use third-party tools (like our ATS, sourcing platforms, or email systems) that process data on our behalf. These tools are bound by their own privacy policies and are selected with data security in mind.

How we protect it

Enterprise-level security, company-wide

We run Data Loss Prevention (DLP) across all our systems. Every employee device has endpoint antivirus and anti-malware protection. Access to sensitive files and databases is controlled and monitored. No external storage. No unauthorized cloud sharing.

We also carry a $5M Fidelity Bond specifically covering theft or dishonest acts by employees against client or candidate data. This isn’t just policy  it’s financially backed protection.

Your rights

You’re in control of your own information

You have the right to ask us what information we hold about you, request corrections, or ask us to delete your data. If you submitted a resume and later want it removed from our system, just ask. If you’re a client and want to know what we have on file, just reach out.
